The story behind LandlordAccounting

Originally written as an internal training book for our landlording company, over 8 years it grew to serve thousands of other landlords.

Since 1946, my family has been landlords and developers.

(It just took a few years for QuickBooks and the Internet to show up.)


For the last 60+ years, we've been rehabbing and renting “properties we could call our own home.”

Quality is number one in everything we do, even if it takes longer or slightly lowers the profit margins.

In the late 1990's our portfolio was growing, but paper and pencil bookkeeping was not keeping up. Excel can help for a while, but that soon gets to be a nightmare. A few more years of slow and steady growth expanded our frustration and made tax time very difficult.

  • Keeping books with a ledger (Excel or paper) increased the possibility of arithmetic errors as the quantity of rentals increased.
  • We didn't know which property was the most (or least) profitable.
  • Creating financial reports took hours, and we did not really trust the results.
  • Preparing for taxes was incredibly stressful.
  • Tracking which tenants paid, who owed late fees, and who was behind in rent was like wrestling alligators.

Accountants highly recommended QuickBooks, but…

As soon as we tried to use it our hearts sank because we did not know where to start.

  • How could we set it up correctly to get all the reports we needed?
  • With customers, jobs, and accounts — did we also need to use classes?
  • What should be in our Chart of Accounts?
  • How do we enter existing properties with historical transactions?
  • A new LLC was formed, but how do we get the properties into it?
  • Where or where should we start?

It was hard to answer all these questions.

We spent a lot of money on experts, courses, and training. I became a Certified QuickBooks ProAdvisor.

We had to learn the hard way how to set up the company file for landlording. I spent hundreds of dollars in college level classes, bacame a Certified QuickBooks ProAdvisor, asked our accountant questions, and read everything I could find.

The books we studied didn't answer all of our questions: so we developed an internal training manual and reference guide. And, to make a long story short, we learned the hard way how to do everything. We ♥ QuickBooks.

It has scaled well with us over the years.

We wrote an internal cheat sheet for every tricky transaction.

We had notes for:

  • How do we automatically charge rent and late fees?
  • What are the things to do when a new tenant moves in?
  • How to enter escrow money?
  • What if a tenant prepays rent for six months?
  • Then a resident leaves with damages that exceeds his or her security deposit.
  • How do we enter mortgage, or refinancing, transactions?
  • This went on and on…

This turned into a book in 2003, and other people started asking for it. In 2004, we registered LandlordAccounting.com and asked visitors if they were interested in training material. We wanted to test the market before writing anything for the public because, just like our properties, a released book would have to be of an extremely high quality.

People poured in, and for several hundred, we gave them a free "Beta" version of the guide.
